Setting Up Your Core HR Module in Humadroid

Before your team starts using Humadroid, it’s worth taking a few minutes to set up the basics. A well-configured account makes everything smoother,  from leave tracking to employee invites. If you use the paid version for Compliance management, check out Setting up your Compliance module in Humadroid Access Your Account Settings Click on Admin settings in the bottom left corner of the dashboard to access the account setup panel. You’ll see several tabs, each one managing a specific area of your HR configuration. Account Tab – Company Info & Preferences In this tab, you’ll add general company details. Click “Edit” at the bottom to get started. You can configure: - Default vacation days – automatically assigned to new employees - Locale settings – currency and regional formatting for your data - Feature visibility – use the checkboxes to hide modules you’re not using yet (they’ll disappear from the left menu) Users Tab Manage your team members here. You’ll see a list of all invited users and can send new invites directly from this screen. Integrations Tab Humadroid integrates with: - Google Workspace integration allows admins to: - Sync all users from your organization’s Google account with a single click - Automatically assign them to your Humadroid instance - Avoid manual invites and data entry Google Workspace – sync your employee list in one click - Slack – get automated updates about: - Time-off and vacations - Employee birthdays - Shoutouts and recognition To enable integrations, just follow the guided steps in the tab, no coding is needed. Time-Off Policies Tab – Define Leave Types Here’s where you create and manage your company’s leave policies. One example policy, like Sick Leave, is already there to help you get started. When creating a new time-off policy, you can define: - Name & description (e.g., “Annual Vacation” or “Training Days”) - Renewal frequency (yearly, monthly, etc.) - Eligibility delay – set how long a new hire must wait before the leave becomes available (e.g. 3 months after hiring) - Backdated accrual – let days accrue from the first day of employment, even if they’re only usable later Additionally, you can: - Set cancellation rules – e.g., delete unused leave days after a certain period - Decide if the policy should be automatically assigned to new hires - Enable carryover settings – allow unused leave to roll into the next year or expire based on company policy These are the basic settings for the Core HR panel, everything you need to manage your team, policies, and daily HR operations. Core HR Features - Overview

Humadroid’s Core HR module equips you with the essential tools to manage people, time, announcements, and HR operations, without overcomplicating the process. Below, you’ll find a quick admin-focused tour of each key section. People The People tab is your central employee directory and the backbone of your HR structure. As an admin, it gives you full visibility into every team member’s profile, including roles, departments, assigned assets, documents, and compliance acknowledgments. You can quickly update employee records, assign reporting lines, or reclassify employment types. The Groups and Structure views let you build teams for specific operational or permission needs, for example, creating a "Remote Tech Team" group for targeted document or benefit assignment. You can also use the Structure and Groups tabs to define team hierarchies or assign managers to specific units. Inbox The Inbox consolidates all HR-related tasks that require admin or manager action. From approving reimbursements to handling policy acknowledgments, everything shows up here. This includes: - Reviewing document acknowledgment requests - Approving absence requests - Validating reimbursement submissions - Accepting or rejecting benefit applications Each task appears with a clear context and links to the relevant item or employee profile. Compliance (Core HR) The Core HR Compliance feature offers a simplified version of Humadroid’s full compliance module. It enables administrators to create basic compliance workflows by assigning documents, such as internal policies, to specific groups or employment types. You can ensure that employees acknowledge and stay updated with: - Information Security Policy - GDPR/Data Protection Policy - Code of Conduct - Remote Work Guidelines - or any other policy you follow. This is ideal for companies that want to establish a culture of accountability and compliance without the overhead of full audits or frameworks. Assets (Core HR) The Assets section in Core HR allows you to categorize and assign assets to employees in a lightweight way. Admins can create categories (like "Laptops," "Monitors," "Access Cards") and track which assets are assigned to whom. While it doesn’t have the advanced features available in the Compliance Module (e.g., lifecycle management, depreciation tracking), it provides a straightforward view of equipment ownership across your company. Updates Updates is your internal communications dashboard. Here you can post announcements about new policies, share shoutouts recognizing great performance, or inform the team about structural changes. Every update appears in the dashboard of every employee, making it the most visible communication channel in Humadroid. Absences The Absences module helps you manage all types of employee time off. You can review, approve, or reject leave requests and monitor balances. Before employees can request leave, you need to define company-specific time-off policies in the Core HR Account Settings. These policies determine the number of days off available, the types of absences permitted (e.g., vacation, sick leave), and the approval process. When an employee submits a time-off request, you'll see any overlaps with team members to help avoid scheduling conflicts. Reimbursements The Reimbursements module simplifies how employees submit and how admins approve business expense claims. You can set up custom categories with budgets (like "Conference Travel" or "Work-from-Home Equipment") and define approval rules. As an admin, you're free to create reimbursement categories tailored to your company’s standards — whether it's recurring monthly allowances or occasional professional expenses. Simply navigate to the Categories tab to define new types and budget periods. Admins can track how much of each category’s budget has been used and manage individual requests with ease, all while eliminating manual follow-up or emails. Benefits In the Benefits section, you manage all non-salary perks your company offers. Add benefits like lunch stipends, wellness packages, or reading budgets. When setting up a benefit, you define: - Who can see or apply for it (based on groups or employment types), - Whether it requires manager approval, - If employees must provide any additional information when applying (e.g., uploading a receipt, confirming eligibility). You can also monitor which benefits are most frequently requested and how many employees are currently enrolled in each, helping you identify what’s valued most by your team. Timesheet Timesheet allows project-based time tracking by starting with project creation. .As an admin, your first step is to create a new project, define its total and monthly budget, and assign responsible team members Once this is done, employees assigned to the project will be able to log their working hours. You’ll gain clear visibility into how time is distributed across projects, making it easier to manage budget utilization, ensure productivity, and generate accurate reporting for both internal tracking and client billing. Whether you're overseeing a fixed-bid client contract or monitoring internal R&D initiatives, the Timesheet feature helps you stay in control of time and costs. 1-on-1s Admins and managers can use the 1-on-1s tool to: - Schedule recurring or one-off feedback sessions - Assign talking points - Keep a historical log of meeting notes This module supports stronger employee development and communication practices. By combining these Core HR features, Humadroid gives you full visibility and control over your team’s operations. You can set structure, automate workflows, and ensure compliance — all from one centralized platform.
